The automation agency’s challenge: AI without dehumanisation

In a world where digital transformation is becoming a necessity, organisations are seeking to automate in order to gain efficiency, scalability and accessibility. However, many are still hesitant, fearing a loss of human connection or technological complexity that is difficult to grasp.

This is where the expertise of an automation agency such as Inflow comes in: making automation not only seamless, but also inclusive and value-adding. The project carried out for Hors Piste Conseil, focusing on support for VAE (Validation of Acquired Experience), is a perfect illustration of this.

The challenge: industrialising human support without robotising it

VAE (Validation of Acquired Experience) is an essential mechanism for gaining recognition of professional skills through a diploma. But the process is often complex, particularly when it comes to filling in the famous ‘booklet 2’, the core of the application file.
Hors Piste Conseil, a firm specialising in VAE support, wanted to make this process smoother, more accessible and more autonomous, particularly for people who are:

  • those who are isolated from traditional solutions (rural areas, reduced mobility),
  • those who have difficulty with writing (DYS disorders, language barriers),
  • or those who are simply looking for a more flexible process.

They therefore called on Inflow to design a digital solution capable of intelligently automating certain key steps, while maintaining a high level of personalisation.

The role of the automation agency: combining AI, UX and support

This project was an opportunity for Inflow to demonstrate what an automation agency can do when it puts data and AI at the service of a human objective.

Key steps:

  • Strategic framing: analysis of field usage, identification of friction points, definition of functional priorities.
  • Modelling user journeys: creation of a conversion funnel designed to maximise autonomy while preserving access to human support if needed.
  • Development of an intelligent chatbot: capable of interacting in natural language with VAE candidates, based on RNCP job reference standards.
  • Automation of Booklet 2 drafting: through contextual suggestions, rephrasing, and step-by-step guidance.

All this was done using a B2C2B and white label approach, enabling Hors Piste Conseil to offer this solution to other players in the sector.

Automation also means inclusion

One of the great strengths of this mission was to show that automation does not mean standardisation. Quite the contrary.

Thanks to a sophisticated approach to AI-assisted personalisation, the solution developed:

  • adapts to a variety of career paths,
  • facilitates written expression through contextualised suggestions,
  • makes reference frameworks understandable to non-experts.

In other words, automation here does not replace the human connection: it extends it, prepares it and makes it more effective. The VAE expert no longer intervenes to correct mistakes or rephrase, but to validate, guide and encourage. A change in approach that makes all the difference.

Concrete results

The project has made it possible to:

  • drastically reduce the processing time for VAE files;
  • streamline the user experience, with candidates gradually improving their skills;
  • open up new business opportunities through a replicable digital offering.

In short, it is a textbook case for any organisation seeking to scale a human-based service without losing the essence of its value.

What could you automate intelligently?

The Hors Piste Conseil case study shows that an automation agency like Inflow can transform a complex support process into a smooth, inclusive and scalable journey. Whether you are a training provider, a real estate network, a sports club or a construction company, one thing is certain: intelligent automation means investing in quality, performance… and people!
